Texas Christian University (TCU) is a designated J-1 Program Sponsor, authorized to host Exchange Visitors (EVs) who engage in academic and cross-cultural activities. This section outlines key information for TCU departments that are currently hosting, or planning to host, J-1 Exchange Visitors for scholarly, research, or educational purposes, ensuring alignment with institutional standards and federal regulations.

The following is an overview of the general timeline for the initial J-1 Exchange Visitor (EV) visa process. This process involves coordination between the Exchange Visitor, the International Services Office (ISO), the sponsoring department at TCU, and the U.S. Consulate. Please note that the timeframes provided are estimated, as various factors may cause delays beyond the anticipated timeline.

ISO estimates that the entire process, from inviting the Scholar to their arrival on the TCU campus, typically takes between 3 to 5 months.

Step 1

Department Submits J-1 Application Request to the ISO and obtains approval from the Office of the Provost.
The hosting department initiates the J-1 sponsorship process by submitting a request via email to internationalservices@tcu.edu, along with all required documentation (e.g., appointment letter, proof of funding). Please refer here for a full list of required application materials.  Additionally, the hosting department must obtain approval from the Office of the Provost by completing and submitting this form to them prior to submission.
Important: Do not submit the request until the departmental administrator has gathered all necessary documents, including those required from the scholar.
Estimated Time: 1–2 Months (depending on completeness of documents)

Step 2

International Services Office (ISO) Reviews and Issues DS-2019
ISO reviews submitted documents, verifies eligibility, and issues the Form DS-2019, the Certificate of Eligibility for Exchange Visitor Status.
Estimated Time: 5 Business Days

Step 3

Exchange Visitor (EV) Applies for J-1 Visa Stamp
The EV receives the DS-2019 via the ISO Gateway. EV must then pay the SEVIS I-901 fee online and submit a J-1 visa application to schedule a visa interview at a U.S. consulate or embassy to receive the J-1 visa stamp in their passport.
Estimated Time: 3–12 weeks

Step 4

Travel to the U.S. and J-1 EV Arrival
Once the visa is approved, the EV can make travel arrangements to the U.S.  Note that EVs may enter up to 30 days before the DS-2019 program start date. Upon arrival, the J-1 Exchange Visitor must schedule an orientation with ISO and complete the electronic J-1 check-in within 3 days of arrival.

Step 5

J-1 EV being program on the start date listed on their DS-2019.

Departments hosting J-1 Scholars are expected to understand their responsibilities and collaborate with the International Services Office (ISO) to ensure compliance with federal regulations governing the J-1 Exchange Visitor Program. This includes familiarity with the program’s purpose, applicable immigration laws, and TCU-specific policies that apply to Exchange Visitors throughout their time at the university.
